Service delivery assistant
Job title: SERVICE DELIVERY ASSISTANT, South East European Youth Network
Location: SEEYN Association and Centre for Voluntary Service, Sarajevo
Start date: 1st September 2007 or as soon as possible thereafter
Contract period: Until 1st June 2008 (with likelihood for extension)
SEEYN
SEEYN is financed by the Danish Ministry for Foreign Affairs’ Peace and Stability Fund through Neighbourhood program and initiated by The Danish Association for International Cooperation (MS). SEEYN works in seven countries: Albania, BiH, Bulgaria, Croatia, Macedonia, Montenegro, Serbia.
From the merely implementing Network SEEYN stream to develop into a recognized service provider working with the voluntary sector. SEEYN wants to work collectively and avoid competition, in particular with respect to the different national organizations that deal with voluntary service.
In addition, in order to enhance its sustainability SEEYN will work to strengthen the co-operation and dialogue with governments. It is also important that until 2007 SEEYN attain a better relationship with private donors/sector, and not only a ‘fund-driven’ relationship.
In addition, by publishing research findings, best practices, toolkits with an aim to contribute to the knowledge base of the nonprofit sector in the field of voluntary service, but also for developing new knowledge in order to increase the understanding of the pro-social values and volunteerism (link to research and publications) .
SEEYN offers a wide range of trainings and consultations to NGOS, institutions and individuals.

Job purpose
• To administrate and manage SEEYN service: trainings/consultations, publications and voluntary exchanges
• To develop and maintain a transparent and business-oriented service offer
• Marketing related to SEEYN service
Job objectives
• To develop administrative systems which enable the smooth functioning of SEEYN service
• To promote, advertise and retail SEEYN trainings and consultations
• To build the capacities of SEEYN training centre
Relationships
The post holder will:
• Be accountable to and work closely with the SEEYN director
• Work closely with staff and volunteers in SEEYN Secretariat
• Develop good working relationships with SEEYN members across the region
Decision making authority
• Authorise service contracts in accordance with policies and procedures of SEEYN and when approved by SEEYN director.
• Assess Financial reports from SEEYN trainings and other services
• Organise and prioritise SEEYN service and track income
• Make recommendations for the service development
• Manage additional funds if required
Main tasks
• Service administration – drawing up contracts, collating reports, facilitating trainers’ placements, developing new training formats
• Clients relationship – dealing directly with and talking to clients and building relationships, which will enable organisation to identify their needs and spot opportunities
• Retail – advertising and retailing service
• Coordination - coordination of SEEYN members’s work in relation to SEEYN service
• Organisation of SEEYN trainings – contacts and logistics
• Monitoring – monitoring service activities, collecting evaluations forms
• Volunteer exchanges– administrate SEEYN volunteer exchanges based on SEEYN and RIVER SEE project manuals.
• Reporting – compiling financial reports
• Capacity building – To work with network members and trainers building their service management skills and understanding of SEEYN sustainability based on income generating activities
• SEEYN administrative activities, such as:
- Handling incoming and outgoing post
- Responding to email and phone enquiries
- Maintaining efficient filing systems
- Ordering supplies and equipment as required
Note: although core duties are set out above, a flexible approach to work is essential. The Service assistant may be required to adapt their working style and core duties to take account of changing working practices and the emerging needs of the SEEYN.
Person Specification
Vocational
• A proven experience in administration and management in international organisations or projects
• Excellent written and spoken English and Bosnian/Serbian/Croatian
• Computer literate with the ability to use Microsoft Word and Excel (advanced level) and PowerPoint/Access. Good working knowledge of Microsoft Outlook email, calendar and tasks.
• Qualifications in marketing areas
• Have a minimum of two years working experience.
• Experience working with private sector
• Knowledge of business mindset
• Understanding voluntary service
• Ability to work independently and as a part of team
• University degree an advantage
Personal
• Structured, focussed and very well organised approach to work.
• Sensitivity to cultural differences and the challenges of working across cultural boundaries
• Ability to quickly gain an overview in busy and pressed situations
• Good interpersonal skills with experience of working with people at all levels with tact and integrity.
• Excellent communication skills, both written and oral.
• Be able to work flexible hours and under tight timelines
• Be available to travel frequently in the SEE region if required
Terms and conditions
Salary: 1200 KM per month (net.) – starting salary
Holidays: 2 paid working days per month
Pension and insurance: Both pension and insurance will be awarded in line with local regulations
Hours of work: Working hours are 9:00am to 5:00pm with 45mins for lunch, Monday to Friday. However, due to the nature of this post, there may be occasions when it will be necessary for you to work in excess of these hours.
